Biographical history

The District Secretary's duties were manifold. All communications from the Board of Directors of the Unity had to pass through his hands, and all information which he received on behalf of the District had to be forwarded to the Lodges. The Secretary had supervisory control of Lodge secretaries. He had to attend all District and District committee meetings; to forward to each Lodge an account of their dues, arrears and fines, to keep an account of each separate fund; to produce to each District meeting a statement of the receipts and disbursements since the previous meeting which, with the resolutions carried, had to be forwarded to all Lodges. The Secretary also had custody of the register of members. All sums of money payable to the District had to be paid to the Secretary unless other provision had been made for such payments in the District Special Rules. If the Secretary was in receipt of District monies then he had to pay such monies either to the District Treasurer or to the District's bank account.

Scope and content

Routine papers of the District Secretary. Most of the papers relate to the lengthy tenure of Richard J. Ellis who was the District Secretary from 1932 to 1973. As a result of rapidly falling membership Lodges repeatedly failed to appoint their own secretaries. In order to prevent the dissolution of those Lodges, Ellis gradually, and sometimes reluctantly, undertook a great deal of the administrative work of individual Lodges as well. Because of these administrative duties his files include papers relating to individual Lodges as well as to the District.

Appraisal, destruction and scheduling

Action: Some financial records have been destroyed including those balance sheets of individual lodges which are available in the records of the lodges themselves. A small number of balance sheets which have only survived in the District Secretary's papers have been transferred to the balance sheets of the appropriate lodges..

Arranged at NLW into five series: correspondence and papers; financial papers; medical and insurance certificates; death certificates; and accumulated papers.
